Understanding OvidSP Annotations

Dear Ovid customer:

Throughout the research and design phase of OvidSP, users and information managers told us over and over again how they’re always looking for ways to help them save time during the research process. One of the time-saving tools that many of our customers are most excited about in OvidSP is the annotations feature.

  • What are annotations in OvidSP? Electronic yellow “sticky notes” that allow you to create, view, and edit notes on a specific citation that appears in a search result. Your notes help to contextualize why that specific citation is important to you—a great help when you’re dealing with lengthy results list.
  • How do I create an annotation? Click on the yellow annotation icon next to the specific citation that you wish to annotate, and the annotation pop-up window will appear. Then, simply enter a note into the text field and save. Once the annotation window is closed, the icon will indicate the appearance of an annotation, making it clear which citations have been annotated and which have not.
  • How do I edit or delete annotations? Simply select the annotation icon; when the annotation pop-up window appears, click the appropriate button to edit or delete. Note that annotations do not expire or get automatically deleted; they remain active for the length of your valid OvidSP subscription.
  • Can I export an annotation? This capability is scheduled for implementation in April. Click here for our February 13th email with this announcement.
  • Can multiple users view a specific annotation? Yes. Depending on your OvidSP setup, you can see annotations at the personal account or user account level. Please contact support@ovid.com for more information about your specific setup and how annotations can be best viewed.
